The Acorn · Practical workflow guide

What should an institution include in a forensic software quotation request?

Give the supplier enough detail to price the teaching arrangement, not just a number of licences. Tell SQFR what students need to learn, how many will work at once, what equipment you already have and when it is needed. Academic requirements are discussed individually, with the configuration and support set out in the proposal.

Describe a class, not just a course title

A course called digital forensics might cover acquisition, file recovery, incident response or the interpretation of records. Name the practical tasks and source types. Include a sample exercise using non-confidential training data if that helps explain the requirement.

State the total cohort and the largest simultaneous class. Ten shared stations used across several sessions is a different requirement from a workstation for every student. Include demonstrator, tutor and spare-equipment needs.

Separate what is needed from what is already available

List existing monitors, keyboards, storage and suitable teaching rooms. Explain whether the institution is exploring a complete Acorn workstation arrangement or wants to discuss software availability. Software-only terms should be confirmed in the proposal, not assumed from a hardware demonstration.

Storage needs depend on exercise sizes and whether students retain their own working copies. Ask for hardware, software terms, delivery, training and support to be itemised. Have the supplier state any exclusions and the period covered by the quotation.

Bring procurement and IT into the conversation early

Include the proposed timetable, purchasing process, accessibility requirements and local IT restrictions. Ask how updates, build consistency and support would work during a teaching term. Confirm what happens if the proposed launch timetable does not fit the module dates.

SQFR can discuss bespoke institutional requirements. This is not a published academic price list or a promise of a standard percentage discount. The useful result is a written proposal that names the configuration, quantities, deliverables and terms before a purchase is agreed.

What to check

  • Practical tasks, cohort size and simultaneous users
  • Existing equipment, output storage and required additions
  • Delivery dates, itemised support and procurement requirements

Common questions

Is there a fixed academic discount?

No standard academic discount is advertised here. Ask for a bespoke proposal based on the institution’s requirements.

Should we send student or live case data for a quote?

No. Describe the task or use a suitable training dataset. Agree any necessary secure transfer separately.
